Waitlist recovery

Cancellation and waitlist recovery systems

Turn a late opening into an orderly opportunity for the right waiting patient, without creating a scramble at the front desk.

Discuss this service

Cancellations create lost capacity while waitlists sit in spreadsheets, inboxes or staff memory. Manual outreach is slow and often reaches people in the wrong order.

A useful recovery flow respects consent, appointment fit, provider rules and the fact that the first reply may not be the right match.

What we build

A working system, not a strategy document.

  1. 01Cancellation trigger and eligibility rules
  2. 02Prioritised waitlist segments
  3. 03Consent-aware outreach sequence
  4. 04Claim, expiry and staff handoff logic
  5. 05Recovered-capacity reporting

The team can offer suitable openings quickly, see who responded and return unclaimed capacity to staff with less manual chasing.

The practice controls clinical suitability, priority policies and any patient-specific exceptions.

I handle strategy, implementation, testing and ongoing improvement. Your team approves patient-facing language and keeps ownership of all clinical decisions.

Common questions

The practical details.

What kinds of private practices do you work with?

We build for independent healthcare practices, including functional and integrative medicine, longevity, concierge care, mental health, med spas, chiropractic and physical therapy. The system is adapted to your services, team and patient journey.

Are you a marketing agency?

We are a patient acquisition systems agency. That means we can support demand generation, but we also fix what happens after a lead arrives: response, qualification, booking, reminders, reactivation, reviews and reporting.

Do we need to replace our current software?

Usually not. We begin with the website, calendar, phone, CRM and practice tools you already use. We only recommend a change when the current setup cannot reliably support the outcome.

Does the system handle clinical questions?

No. Administrative questions can follow an approved path, but clinical questions are routed directly to your practice. We keep the acquisition system in front of clinical care.

How long does implementation take?

Most initial systems are designed and launched in two to four weeks. Timing depends on the number of locations, providers and channels involved, plus any messaging registration your setup requires.
