Growth reporting
Private practice acquisition reporting
A practice should not need five dashboards to answer one question: where are we losing qualified patient demand?
A practice should not need five dashboards to answer one question: where are we losing qualified patient demand?
A private practice that recognizes this operating problem: Ad platforms report clicks, calendars report bookings and staff know the exceptions. Without a connected view, the owner cannot see which source creates attended consultations or where the journey breaks.
Clinical decision-making, guaranteed patient outcomes or a disconnected tactic with no owner and no measurable next step.

How growth reporting works
Make the next decision easier for the patient and the team.
Connect every handoff to one visible patient journey and one useful next action.
- 01Source-to-enquiry tracking
- 02Response and qualification measures
- 03Booking and attendance reporting

More reporting is not the goal. The useful view is small enough to guide a weekly decision.
What we build
A working system, not a strategy document.
- 01Source-to-enquiry tracking
- 02Response and qualification measures
- 03Booking and attendance reporting
- 04Reactivation, review and continuity measures
- 05A focused weekly decision view
The team sees the constraint that matters now and can judge whether changes improve real operating outcomes.
We define every measure in plain English and keep assumptions visible.
We handle strategy, implementation, testing and ongoing improvement. Your team approves patient-facing language and keeps ownership of all clinical decisions.

What building the growth engine for a clinical AI platform taught us about practitioner adoption
50+ / month · one-to-one onboarding calls supported with CSR teams
FunctionalMind AIGrowth operations engagementRead the build notes →“We had enquiries coming in, but too many went quiet before the appointment. Now the follow-up feels like a system, not a pile of tools.”
“The big opportunity wasn’t another campaign. It was what happened after someone contacted us. That journey is much clearer now.”
“They found the drop-offs before suggesting more ads. We can finally see and measure the acquisition process.”
“We had demand, but too many ways for people to fall through. The team can now see every opportunity and what needs to happen next.”
“Follow-up used to feel reactive. Now new enquiries, undecided patients and past patients each have an intentional path.”
“We were paying for interest without getting enough consultations. The changes connected enquiries, reminders and reactivation.”
Common questions
The practical details.
What kinds of private practices do you work with?
We build for independent healthcare practices, including functional and integrative medicine, longevity, concierge care, mental health, med spas, chiropractic and physical therapy. The system is adapted to your services, team and patient journey.
Are you a marketing agency?
We are a patient acquisition systems agency. That means we can support demand generation, but we also fix what happens after a lead arrives: response, qualification, booking, reminders, reactivation, reviews and reporting.
Do we need to replace our current software?
Usually not. We begin with the website, calendar, phone, CRM and practice tools you already use. We only recommend a change when the current setup cannot reliably support the outcome.
Does the system handle clinical questions?
No. Administrative questions can follow an approved path, but clinical questions are routed directly to your practice. We keep the acquisition system in front of clinical care.
How long does implementation take?
Most initial systems are designed and launched in two to four weeks. Timing depends on the number of locations, providers and channels involved, plus any messaging registration your setup requires.
