Pre-consultation assessment

Pre-consultation assessments that improve readiness

Help prospective patients understand the next administrative step while giving the practice a cleaner, more useful enquiry.

How pre-consultation assessment works

Make the next decision easier for the patient and the team.

Connect every handoff to one visible patient journey and one useful next action.

  1. 01Step-by-step question flow
  2. 02Conditional administrative routing
  3. 03Plain-language expectation setting

A long generic form creates friction, but an unstructured enquiry leaves staff without the context needed to route the conversation. Both slow the path to a useful consultation.

An assessment should support intake and education. It should never diagnose, determine treatment or replace practitioner judgment.

What we build

A working system, not a strategy document.

  1. 01Step-by-step question flow
  2. 02Conditional administrative routing
  3. 03Plain-language expectation setting
  4. 04CRM and scheduling handoff
  5. 05Completion and booking measurement

Prospective patients reach the contact step with more context and intent, while staff receive information in a consistent format.

The practice owns and approves every clinical reference, eligibility rule and patient-facing statement.

We handle strategy, implementation, testing and ongoing improvement. Your team approves patient-facing language and keeps ownership of all clinical decisions.

“We had enquiries coming in, but too many went quiet before the appointment. Now the follow-up feels like a system, not a pile of tools.”

Common questions

The practical details.

What kinds of private practices do you work with?

We build for independent healthcare practices, including functional and integrative medicine, longevity, concierge care, mental health, med spas, chiropractic and physical therapy. The system is adapted to your services, team and patient journey.

Are you a marketing agency?

We are a patient acquisition systems agency. That means we can support demand generation, but we also fix what happens after a lead arrives: response, qualification, booking, reminders, reactivation, reviews and reporting.

Do we need to replace our current software?

Usually not. We begin with the website, calendar, phone, CRM and practice tools you already use. We only recommend a change when the current setup cannot reliably support the outcome.

Does the system handle clinical questions?

No. Administrative questions can follow an approved path, but clinical questions are routed directly to your practice. We keep the acquisition system in front of clinical care.

How long does implementation take?

Most initial systems are designed and launched in two to four weeks. Timing depends on the number of locations, providers and channels involved, plus any messaging registration your setup requires.
